What problem was the Trust trying to solve?
The estates and facilities team needed a dependable way to match thousands of physical assets to the correct inspection and maintenance records.
Fire doors, PAT-tested appliances, air conditioning systems and other estate assets require clear identification and traceable histories. When records are paper-heavy or depend on a location description, the exact item can be slower to find and harder to verify.
The Trust had already developed its own cloud-based management system and application. What it needed from QR Code Stickers was the physical identification layer: a unique, durable label for every real-world asset.
Why was a numbered QR label needed?
A digital record is only useful in the field when staff can reliably connect it to the correct physical item.
Each supplied label combined a unique QR code with the same reference in human-readable text. In the project team's words, the label gives each asset its own “passport”: a stable identity that staff can use to reach the corresponding record through the Trust's system.
The labels did not create or replace the Trust's software. QR Code Stickers handled print, numbering, sizing, material specification, branding and supply. The Trust retained control of its application, records and permissions.

How do the labels and cloud system work together?
The label is the asset's physical passport; the Trust's authorised application opens and manages the corresponding cloud record.
Authorised staff scan the code in the Trust's application. The application then retrieves the record associated with that identifier and governs what the user can view or update. Depending on the Trust's configuration, that can include inspection history, status, outstanding actions and reported issues.
What are the labels made from, and why does it matter?
The labels used high-tack vinyl, a protective laminate and radius corners because hospital assets are repeatedly cleaned and the identifier must remain attached and scannable.
A standard paper label is a poor fit for repeated wipe-downs. The project specification therefore addressed the actual environment:
- High-tack plastic vinyl for a strong bond to the asset surface
- A protective laminate to shield the printed surface
- Radius corners to reduce exposed edges, lifting and peeling
- High-contrast print to keep the code easy to scan

Why did the Trust order two label sizes?
Scan distance and available surface area determined the format: compact labels for close-range items, and larger labels for equipment that had to be scanned from farther away.
A kettle or small item can be approached and scanned at close range. Air conditioning ducting mounted overhead needs a larger code. The Trust therefore ordered 10,000 labels in each of two sizes.

Why brand the label instead of using a plain QR code?
The NHS branding helped engineers distinguish the Trust's asset label from manufacturer QR codes already present on the equipment.
Many assets arrive with their own QR codes for manuals, warranty information or manufacturer support. Adding the Trust's logo alongside the unique code and printed number made the correct operational label immediately recognisable. That was a functional choice, not decoration.
Why use a specialist QR code label supplier?
The job required more than generating QR images: every label had to carry the right data, remain readable, fit the asset and survive its working environment.

Who uses the system day to day?
The deployment was shaped around the people carrying out inspections and maintenance, including fire-door inspectors, electricians, cleaners and carpenters.
Multiple teams can refer to the same asset identity without creating separate paper records or relying on an imprecise description. If a fault is reported using the printed number, engineers can identify the exact item rather than being told only that a problem exists somewhere in a room or corridor.

How is access to asset information controlled?
The QR label identifies the asset, but the Trust's application controls access to the underlying operational record.
In the documented implementation, the useful information available without authorised application access is limited to the asset reference. The Trust decides which authorised users can see or update inspection and maintenance details. QR Code Stickers supplies the identifier; it does not control the Trust's data or permissions.
What happens when scanning is unavailable?
The number printed beneath every QR code preserves the asset identity when a battery fails, a device is unavailable or connectivity drops.
Staff can note the number, continue the inspection and enter the information when the application is available again. The fallback does not make the cloud record itself offline; it prevents the physical asset from becoming unidentifiable during the interruption.
What changed after the rollout?
The rollout established one consistent physical identifier for each labelled asset, linking field activity to the Trust's existing digital records.
The evidence supports practical improvements in accountability, accuracy, searchability and findability. Staff can report or inspect against an exact asset number instead of relying only on a location description. The approach also reduces dependence on repeated printing and physical record storage.

Reduced printing and physical storage were secondary benefits described in the project interview. They support more efficient resource use, but they were not presented as the primary business case and no carbon reduction figure was supplied.
Is the approach being considered elsewhere?
At the time of the interview, the same estate manager had requested a quotation for a neighbouring NHS Trust.
The interview explains that the neighbouring Trust could piggyback on the existing system rather than commission the core application again, while still requiring its own configuration and QR code labels. It was a quotation rather than a confirmed second deployment, and this page deliberately preserves that distinction.
